A safety register in the context of Personal Protective Equipment (PPE) management is an official and mandatory document that records all information related to the PPE used within a company or organization. Its purpose is to ensure the traceability and compliance of PPE to guarantee the safety of users. It is a legally required document in both the workplace and sports environments.
This register is particularly essential for companies using Category 3 PPE (life-threatening risks) or Category 2 PPE (intermediate risks) in Europe and UK. It is also required for regulated work equipment, such as pressure vessels, lifting devices, and similar items. In the US, while the classification system differs, maintaining a PPE and equipment register remains a legal or best-practice requirement for managing high-risk or regulated equipment.
You can also use it to manage your other non-regulated equipment. This will help you better monitor your assets and drastically reduce losses and theft.

If you manage a lot of equipment, try GearTracker. The software to save time on equipment management and inspections
Here is a preview of the file. We provide it for free, of course, we understand that not everyone can afford dedicated software for this activity. We recommend the PPE management software only if you manage a large number of PPE or have employees who use them.
note
However, be aware that if you have more than 30 pieces of equipment, Excel will be very limited and will waste your time. Here is a small comparison of features:
Excel
GearTracker
Centralize all your personal protective equipment with their technical and regulatory characteristics and save precious time on their management.
Build a repository of all your employees with their equipment assignments.
Precisely control permissions according to each user's roles in the organization.
4 roles are possible :
No account : No access to the application, but equipment can be assigned to them
Reader : Can only view equipment and reports (email required)
Examiner : Can allocate and verify equipment (email required)
Editor : Can do everything except manage users and billing (email required)
Record all training and certifications of your employees, including associated documents. On Excel obviously, no document can be associated.
⚡ Time saving
Instantly find the information and documents of your equipment thanks to NFC technology or barcodes. Requires an NFC-compatible phone or tablet and/or a camera for the barcode.
Save precious time when adding equipment. Type the name of your equipment model and we will automatically add photos, manuals and information to its file. Our catalog includes all the major brands (Petzl, Beal, 3M, Edelrid, CAMP, ...) across thousands of references.
Save precious time by recording an inspection on a group of equipment.
Since all users can have access to the application at no extra cost, it becomes simple to communicate with end users to inform them about the status and usage instructions of equipment. On the other hand, equipment can have a public file (setting) that any phone can scan (NFC or QR code) to access information.
GearTracker is available on your Android or iOS smartphone to manage your equipment from the field with complete mobility.
📋 Compliance and traceability
Significantly reduce legal risks through rigorous and automated monitoring of equipment status.
Never miss a regulatory deadline again! Our application will automatically send you reminders for inspection deadlines and equipment reaching expiration.
Automatic creation of regulatory reports in PDF format to demonstrate your compliance to authorities or any organization requiring it (insurance, ...).
Complete traceability of all verifications, maintenance and events related to your equipment. Each change can be accompanied by a comment for precision.
You can add to each equipment file all the technical documents, user manuals and compliance certificates you want (PDF format, ...).
Our system automatically validates entries to avoid errors and guarantee data quality. When we import Excel files from our clients, we very regularly observe major inconsistencies in data linked to input errors.
Miss nothing, all user actions are recorded and visible in the application (for users with the appropriate rights).
Organization
Whether you have a few hundred pieces of equipment or tens of thousands, it is often useful to organize them by folder and sub-folder. This also allows you to restrict access to your employees by only giving them access to certain folders. It is also possible to have different access rights depending on the folders (reader on one, editor on another). In short, all the flexibility you need to organize yourself well.
Equipment can only have one folder, so tags are there to allow cross-grouping of equipment (ex: a type of equipment, a location, a team, a status, a characteristic, ...). Our system is flexible and adapts to your organization.
If your inspections are outsourced, you can add inspectors in GearTracker with specific rights.
“Users” to list those who use your PPE and their training.
Here’s how to use it step by step:
Adding Users
Add the users of your PPE with information on their specific qualifications and certifications.
You can then easily associate each PPE with a user for clear responsibility and improved traceability.
Adding Equipment
Add your PPE with detailed information on the brand, model, serial number, and the current state of each equipment (safe to use, unusable, etc.).
Then enter the verification history : record all checks performed on each PPE , including dates, statuses, and comments.
This Excel file is designed to gather essential information about your personal protective equipment (PPE):
Brand: the brand of the equipment.
Model: the model of the equipment.
Serial Number: the serial number of the equipment.
Manufacture Date: the date the equipment was manufactured.
Commissioning Date: the date the equipment was put into service.
Expiration Date: the date the equipment must be replaced.
Inspection Date: the date the equipment was last inspected.
Equipment Condition: the current condition of the equipment (safe to use, unusable, etc.).
User Name: the name of the equipment user.
Inspection History: the record of inspections performed on the equipment, including dates, statuses, and comments.
Tool Limitations
This Excel tool has some limitations that we want to make you aware of. They do not prevent perfect PPE management if you are rigorous, but you should be aware of them.
The tool does not check for potential declaration errors. For example, nothing prevents declaring a manufacturing date later than the commissioning date, which could lead to data inconsistencies.
Although the table contains the main information, it does not display a unique life sheet linked to a particular piece of equipment. Doing so would require as many tabs as there are pieces of equipment, which is far too time-consuming for Excel management.
The tool does not have an automatic alert or notification function when equipment becomes unusable. The manager must regularly open the file to check the status of the equipment.
You cannot perform effective searches, archive photos, manuals, or generate life sheets or compliance reports.
It is impossible to ensure the traceability of information. For example, anyone with access to your Excel file can modify or delete an equipment’s history.
Again, if you are rigorous and disciplined, you will not have any problems. Otherwise, turn to a PPE management software that will do all of this automatically and collaboratively.
Also, avoid the most common non-compliance during a PPE management audit by sharing the file with your users in read-only mode so they can check their equipment.
Streamlined equipment management for teams and individuals.
Manage equipment across teams, locations, vehicles, and more! Track the lifecycle of your gear, get access to manufacturer data. Ensure compliance, reduce losses and theft, and save time.
