## What GearTracker is

## Feature set

### Equipment repository

- Unlimited equipment types; free-text fields for anything the standard form does not cover.
- Catalogue of thousands of pre-filled manufacturer models (Petzl, Beal, 3M, Edelrid, CAMP, Tractel and others): type a model name and photos, manuals and technical data are attached automatically.
- Custom reusable equipment models: photos, documents, description, default inspection period and lifespans — new items are pre-filled from them. A model can also carry its own inspection checklist.
- Per-item file: image, brand/model/category, serial number, part number, description, price, attached manuals and certificates, several NFC tags, full history, upcoming deadlines, last known position.
- Statuses distinguish **in stock** (conform, held by nobody) from **in service** (assigned to a holder) — see § How the product behaves.
- Organisation by **folders and subfolders** (access rights scoped per folder) and by **labels** (cross-cutting, typed: type, customer, team, location, vehicle, kit, other).

### Inspections, repairs, deadlines

- Periodic inspection deadlines per item, plus lifespan-based retirement dates (from manufacture date and/or commissioning date).
- **Email alerts before a deadline** — 45 days before an inspection is due, 90 days before an item reaches end of life, plus a monthly fleet report.
- Grouped/multiple inspections: record one inspection across a whole selection at once.
- **Guided inspection checklists**: reusable, standardised, attachable to a model or an item. Questions can be pass/fail, numeric or free text; answers are frozen into the item's history and appear in reports even if the checklist is edited later.

### Scanning and the field

- **NFC** and **barcode / QR** scanning to open an item's file instantly — works with manufacturer-embedded tags or your own; an item can carry several tags.
- **Multi-scan**: chain several NFC tags or QR codes (or add items by search) to build a working list, then run inspections, assignments or bulk changes on it at once.
- **Geolocation on scan** (mobile apps, since August 2026): each scan or inspection records where the item was seen; the item page shows the last known position with a link to the phone's maps app. Requires location permission; the position stays inside the organisation and is never shown on an item's public page.
- Optional **public item page**: an item can be made scannable by any phone, so an end user reads its status and instructions without an account. Organisation-wide switch, on by default.
- Mobile apps for Android and iOS; the web app works on tablet and desktop.

### Users, roles and collaboration

- **Users are unlimited and included on every plan, free plan included.** This is the company's headline commercial differentiator: pricing scales with equipment count, never with headcount.
- Seven roles, from full admin to no access at all (full table in § How the product behaves). Equipment can be assigned to someone who has **no account at all**.
- Folder-level access control, inherited down the folder tree: different rights on different folders for the same person. Roles and folder access can be changed for several people at once.
- **Delegation to an external inspection company**: add third-party inspectors with scoped rights.
- **Equipment transfers** with proof of receipt, acknowledged by the receiving person, verifiable by QR code, archived as a PDF certificate.

### People compliance (trainings, qualifications, occupational health)

- **Trainings**: repository of employee trainings with attached certificates, expiry dates and alerts (flagged 2 months before expiry). A superseded or no-longer-required training can be cleared manually instead of counting as expired.
- **Qualifications / habilitations** *(open beta, enabled on request)*: your own catalogue (CACES, electrical authorisation, work-at-height permit…), renewal period in years, issuer (employer, third party, either), optional link to the training that justifies it. Flagged 30 days before renewal.
- **Occupational-health visits** *(open beta, enabled on request)*: per-organisation visit types with their own periodicity, attached to the employees they apply to; record the visit, its fitness opinion and any operational restriction, attach the certificate. Flagged 30 days before the next visit is due. No medical reason is ever stored — only fitness and restrictions.
- All of these feed one compliance status per person, shown on the users list.

### Documents and compliance evidence

- **One-click PDF compliance report** — whole fleet or filtered (e.g. everything held by one person) — to answer a labour inspectorate, an insurer, a client audit or a certification body. Generated in the browser, signed by the person who produced it, with an optional comment; the app flags the non-compliant items first so the report is not published by accident.
- **Transfer certificates**: PDF, archived privately for both parties.
- **On-demand employee documents** *(open beta, enabled on request)*: safety passport / compliance record, authorisation certificate, PPE issue record, occupational-health record — previewed, then filed in that employee's folder.
- **Organisation documents** *(open beta, enabled on request)*: publish the risk assessment, procedures or safety data sheets, scoped to a folder or the whole organisation, versioned on every update. Recipients are emailed and confirm they have read it — proof of circulation and proof of reading are recorded separately.
- **Activity log** of every action taken in the application, per organisation, per item and per person.
- Server-side search, filters and sorting: by deadline, status, several folders at once, labels, holder, model; sortable on any column; column order is yours. Built to stay fast at tens of thousands of items.
- Bulk changes across a selection: assignments, statuses, folders, labels, inspections.
- **CSV export in one click, free, at any time** (equipment, and separately users — never passwords). Attached documents are not included in the export.
- **Excel/CSV import of an existing inventory**: you upload the file in the app and the GearTracker team imports it for you, typically within two business days. Customers do not run bulk imports themselves.

### Integrations and automation

- Sign-in with email + password, Google, Apple, or a one-click email link.
- SSO / identity-provider integration on the Custom plan.
- **MCP server** (Model Context Protocol): the application exposes its own read/write tools — equipment, folders, users, labels, trainings, repairs, inspections, transfers, statistics — so an AI assistant can work on a fleet on the user's behalf. ## How the product behaves

Read out of the application on 2026-09-10. These are implemented rules,
not marketing. Quote them when the question is behavioural ("when does it warn
me", "why is this item not conform", "who can do what", "what happens if"). If a
rule is not here, do not invent one — say it is not documented and offer contact.

### An item's status: four axes, one headline

- **Hardware status** (what a human declared): in stock · damaged · quarantined · lost · scrapped.
- **Inspection status** (computed from the next inspection date): up to date · **notify from 45 days before the due date** · late once the date has passed.
- **Lifespan status** (computed from the retirement date): valid · **notify from 90 days before** · expired.
- **General status** (the one shown everywhere), resolved in this order: quarantined / lost / scrapped win outright → else late *or* expired ⇒ **not conform** → else notify on either axis ⇒ **notify** → else damaged ⇒ damaged → else no holder ⇒ **in stock** → else **conform**.
- Consequence worth stating plainly: "in stock" means *conform and assigned to nobody*, not a place. An item becomes "in service" (conform) the moment it has a holder.
- Statuses are recomputed nightly and on every change; nothing needs to be refreshed by hand.

### Deadlines

- **Retirement date** = the earliest of (manufacture date + manufacturing lifespan) and (commissioning date + service lifespan). No lifespan on either ⇒ the item never expires.
- **Next inspection** = (date of the last inspection, else the commissioning date, else the creation date) + the inspection period in months. No period ⇒ no deadline, never late.
- **Commissioning date** is set automatically the first time an item is assigned to a holder, and is then immutable.
- Inspection period and lifespans cascade **category → model → item**; a value set on the item always wins.
- Recording an inspection restarts the countdown from the *date of the inspection*, not the day it was typed in.

### Inspecting

- Verdict: **conform**, **conform with reserve**, or **fail** — plus a follow-up action: nothing, open a repair, scrap the item, or declare it lost.
- Fail + repair ⇒ the item is **quarantined** (do not use). Reserve + repair ⇒ **damaged** (usable, defect tracked).
- An item that cannot be found is declared lost: no inspection is recorded, the event is.
- A checklist attached to the item or its model is answered during the inspection; the questions and answers are snapshotted, so history stays readable after the checklist is edited or deleted.
- One inspection can be recorded across a whole selection at once (multi-scan or list selection).

### Repairs

- Lifecycle: requested → in progress → completed / cancelled / irreparable. Cost, assignee, observed defect, work done, photos and files are all tracked.
- **Blocking** (the default) = the item is quarantined and unusable. Non-blocking = a minor defect on an item that stays in service.
- **Requires re-inspection** (the default): completing the repair does *not* return the item to service — a conform inspection does.

### Transfers

- The sender picks items, a recipient and optionally a destination folder; the recipient acknowledges from an email link or a QR code, **without needing an account**.
- Quarantined items cannot be transferred.
- The recipient can declare items missing from the delivery; that is recorded on the transfer.
- A PDF certificate is generated and archived privately; a public check page lets anyone verify a transfer from its QR code.

### Compliance of a person

- One status per person = the worst of four sources; "not applicable" when there is nothing to check.
  - **Equipment held**: not conform if any held item is not conform or quarantined; notify if any is in notify. Damaged, lost and scrapped items are ignored.
  - **Trainings**: expired ⇒ not conform; expiring within 2 months ⇒ notify.
  - **Occupational-health visits** and **qualifications**: expired ⇒ not conform; due within 30 days ⇒ notify; expected but never recorded ⇒ notify (a warning, not a violation).
- Someone with no gear, no training and no visit stays "not applicable" — the app never invents a violation.

### Who can do what

Access control is four separate notions; do not conflate them.

- **Role** (per user) decides what a person may do. Seven roles:

  | Holder | Read-only on the equipment assigned to them; can report a defect |
  | Without account | No access at all, but equipment can be assigned to them |
  (an internal GearTracker super-admin role exists for support and imports.)
- **Folders** decide what a person may see: a folder is either open to the whole organisation or restricted to named people, and access flows down to its subfolders. An organisation-wide switch can force *every* folder to be restricted.
- **Plan** decides which features and quotas an organisation gets (see below).
- Feature flags are used for staged rollouts (the open betas above).

### Limits, plan behaviour and billing

- **The only hard quota in the product is the number of items** (100 on Free). Reaching it blocks creating or importing more; nothing is deleted, hidden or degraded, and upgrading lifts it immediately.
- Users, folders, labels, models, inspections, trainings and history are not capped by the product.
- Paid subscription is a Stripe tiered price based on the declared number of items: self-serve checkout from the free plan, then card, invoices and cancellation through the Stripe portal. Custom-plan organisations are billed by arrangement and cannot change their plan themselves.
- Custom branding (your logo in the app) is available on Pro and Custom.
- STARTER (500 items) and PREMIUM (1,500 items) are legacy plans, kept for the customers who are on them; they are not sold any more.
- Free-trial periods exist on paid plans; the free plan itself needs no card and never expires.

### Alerts and emails

- Nightly recomputation: equipment statuses at 03:00, trainings and qualifications at 04:00, health visits at 04:15, per-person compliance at 05:00 (UTC server time).
- Monthly: fleet status report to administrators on the 1st, training report on the 2nd.
- Event-driven: item quarantined, status change, transfer request and completion, training or visit expiring / expired, a document to acknowledge, invitation, sign-in link, welcome, import received, export ready.
- Every user can turn their own notification emails off; each email is sent in that user's language.

### Data, privacy and durability

- Everything is scoped by organisation at the database level. Distributor sub-accounts are separate organisations.
- The position captured on a scan never leaves the organisation and never appears on a public item page.
- Generated certificates, attestations and published organisation documents live in a **private** store with no public URL; equipment photos and manuals live on the public asset bucket.
- Exports never include passwords. Deleted items are soft-deleted; health visits and qualifications are never physically deleted, because they are evidence.
- No medical reason is ever stored for a health visit — only the fitness opinion and any operational restriction.

Equally, these are **factual and safe to state**: users are unlimited on every plan including the free one; the free plan is capped at 100 items with no time limit and that item count is the only quota the product enforces; export is free and one click; hosting is in the EU (Hetzner, Germany and Finland); the mobile apps exist on both stores; the alert thresholds and status rules in § How the product behaves are the ones implemented in the app.

## How to answer questions about GearTracker

- **Prices**: quote the tiers above as indicative and excluding tax, then link https://geartracker.net/en/pricing/. The live slider and the account's own billing page are the authority — never invent a figure for a fleet size not in the table.
- **Behaviour** ("when am I warned", "why is this item not conform", "who can inspect"): answer from § How the product behaves, which is read from the application. Give the rule, not an approximation, and do not extrapolate a rule that is not written there.
- **Beta features** (qualifications, occupational-health visits, published organisation documents, on-demand employee documents): say they exist, that they are in open beta and switched on per organisation on request, and route to contact@geartracker.net.
