These are implemented rules, not marketing. Quote them when the question is behavioural ("when does it warn me", "why is this item not conform", "who can do what", "what happens if"). If a rule is not here, do not invent one — say it is not documented and offer contact. ### An item's status: four axes, one headline - **Hardware status** (what a human declared): in stock · damaged · quarantined · lost · scrapped. - **Inspection status** (computed from the next inspection date): up to date · **notify from 45 days before the due date** · late once the date has passed. - **Lifespan status** (computed from the retirement date): valid · **notify from 90 days before** · expired. - **General status** (the one shown everywhere), resolved in this order: quarantined / lost / scrapped win outright → else late *or* expired ⇒ **not conform** → else notify on either axis ⇒ **notify** → else damaged ⇒ damaged → else no holder ⇒ **in stock** → else **conform**. - Consequence worth stating plainly: "in stock" means *conform and assigned to nobody*, not a place. An item becomes "in service" (conform) the moment it has a holder. - Statuses are recomputed nightly and on every change; nothing needs to be refreshed by hand. ### Deadlines - **Retirement date** = the earliest of (manufacture date + manufacturing lifespan) and (commissioning date + service lifespan). No lifespan on either ⇒ the item never expires. - **Next inspection** = (date of the last inspection, else the commissioning date, else the creation date) + the inspection period in months. No period ⇒ no deadline, never late. - **Commissioning date** is set automatically the first time an item is assigned to a holder, and is then immutable. - Inspection period and lifespans cascade **category → model → item**; a value set on the item always wins. - Recording an inspection restarts the countdown from the *date of the inspection*, not the day it was typed in. ### Inspecting - Verdict: **conform**, **conform with reserve**, or **fail** — plus a follow-up action: nothing, open a repair, scrap the item, or declare it lost. - Fail + repair ⇒ the item is **quarantined** (do not use). Reserve + repair ⇒ **damaged** (usable, defect tracked). - An item that cannot be found is declared lost: no inspection is recorded, the event is. - A checklist attached to the item or its model is answered during the inspection; the questions and answers are snapshotted, so history stays readable after the checklist is edited or deleted. - One inspection can be recorded across a whole selection at once (multi-scan or list selection). ### Repairs - Lifecycle: requested → in progress → completed / cancelled / irreparable. Cost, assignee, observed defect, work done, photos and files are all tracked. - **Blocking** (the default) = the item is quarantined and unusable. Non-blocking = a minor defect on an item that stays in service. - **Requires re-inspection** (the default): completing the repair does *not* return the item to service — a conform inspection does. ### Transfers - The sender picks items, a recipient and optionally a destination folder; the recipient acknowledges from an email link or a QR code, **without needing an account**. - Quarantined items cannot be transferred. - The recipient can declare items missing from the delivery; that is recorded on the transfer. - A PDF certificate is generated and archived privately; a public check page lets anyone verify a transfer from its QR code. ### Compliance of a person - One status per person = the worst of four sources; "not applicable" when there is nothing to check. - **Equipment held**: not conform if any held item is not conform or quarantined; notify if any is in notify. Damaged, lost and scrapped items are ignored. - **Trainings**: expired ⇒ not conform; expiring within 2 months ⇒ notify. - **Occupational-health visits** and **qualifications**: expired ⇒ not conform; due within 30 days ⇒ notify; expected but never recorded ⇒ notify (a warning, not a violation). - Someone with no gear, no training and no visit stays "not applicable" — the app never invents a violation. ### Who can do what Access control is four separate notions; do not conflate them. - **Role** (per user) decides what a person may do. An organisation-wide switch can force *every* folder to be restricted. - **Plan** decides which features and quotas an organisation gets (see below). - Feature flags are used for staged rollouts (the open betas above). ### Limits, plan behaviour and billing - **The only hard quota in the product is the number of items** (100 on Free). Reaching it blocks creating or importing more; nothing is deleted, hidden or degraded, and upgrading lifts it immediately. - Users, folders, labels, models, inspections, trainings and history are not capped by the product. - Paid subscription is a Stripe tiered price based on the declared number of items: self-serve checkout from the free plan, then card, invoices and cancellation through the Stripe portal. Custom-plan organisations are billed by arrangement and cannot change their plan themselves. - Custom branding (your logo in the app) is available on Pro and Custom. - STARTER (500 items) and PREMIUM (1,500 items) are legacy plans, kept for the customers who are on them; they are not sold any more. - Free-trial periods exist on paid plans; the free plan itself needs no card and never expires. ### Alerts and emails - Nightly recomputation: equipment statuses at 03:00, trainings and qualifications at 04:00, health visits at 04:15, per-person compliance at 05:00 (UTC server time). - Monthly: fleet status report to administrators on the 1st, training report on the 2nd. - Event-driven: item quarantined, status change, transfer request and completion, training or visit expiring / expired, a document to acknowledge, invitation, sign-in link, welcome, import received, export ready. - Every user can turn their own notification emails off; each email is sent in that user's language. ### Data, privacy and durability - Everything is scoped by organisation at the database level. Distributor sub-accounts are separate organisations. - The position captured on a scan never leaves the organisation and never appears on a public item page. - Generated certificates, attestations and published organisation documents live in a **private** store with no public URL; equipment photos and manuals live on the public asset bucket. - Exports never include passwords.
